What this website does with your data
Short version: nothing is collected unless you send us an enquiry or buy a template, and what you send goes to our inbox rather than into a database. No advertising trackers, no profiling, no selling anything on.
Browsing the site
No advertising or tracking cookies. There is no Google Analytics, no Meta Pixel and no ad tag anywhere on this site, and nothing follows you to other websites.
The Facebook tips on the Tips page. Those are our own Facebook posts, but there is no Facebook embed on this site. Our server asks Facebook for them, and this site then serves you the text and the photos itself. Your browser makes no request to Facebook or to any Meta address, so they learn nothing about your visit — not your IP address, not what you read, and no cookie is set. Reading our posts here is not the same as reading them on Facebook, and that is the point of doing it this way.
Visitor statistics. We use Cloudflare Web Analytics, which counts page views without cookies and without building a profile of you. We see totals — pages, countries, referrers — never individuals.
Fonts and images. Served from this site itself, so loading a page does not tell any other company that you visited. That includes the photos on the Tips page, which are copied through this site rather than linked from Facebook’s servers.
Security. The site runs behind Cloudflare, which processes requests to block attacks and may set a short-lived security cookie if it needs to check that a visitor is not a bot. Cloudflare also keeps standard request logs, which include IP addresses, for that purpose.
If you send an enquiry
What we collect. Only what you type: your name, business name, email, mobile if you give it, industry, team size, which services interest you, and your message.
Where it goes. Straight to our email inbox. It is not written to any database on this website — there is no database. The message is delivered by our email provider, which processes it only to hand it over to us.
Spam check. The form is protected by Cloudflare Turnstile, a privacy-preserving alternative to CAPTCHA. It checks the browser rather than tracking the person, and is not used for advertising.
What we do with it. Answer you. We do not add you to a mailing list without asking, and we never sell or share enquiry details.
How long we keep it. Enquiries that do not become work are deleted within 12 months. Client records are kept as long as our engagement and the law require.
If you buy a template
Paying. You pay with PayPal, on PayPal’s own website, never on ours — this site never sees or stores your card or PayPal login, and loads no PayPal code. PayPal’s own privacy statement covers what happens on their site.
What we receive. When the payment goes through, PayPal tells us your name, your PayPal email address, what you bought and what you paid. We use your email to send you the templates, and keep the sale record.
Where it goes. Your templates and our sale notice are sent by our email provider. Nothing is written to any database on this website.
How long we keep it. Sale records and invoices are kept as long as Philippine tax law requires us to keep sales records.
Chatting with Bea
Same assistant, same data, two places. Bea answers the same way whether you reach her through the chat bubble on this website or by messaging our Facebook Page — a scripted menu and a fixed set of canned replies, not an AI model. If you share your name, email or mobile number with her, or ask her to connect you with our team, it is emailed to us exactly as described above under “If you send an enquiry” — nothing is written to a database.
What we additionally keep. On Facebook Messenger, we keep a small record of where your conversation with Bea left off (which question she asked last), stored against your Messenger id so she doesn’t repeat herself if you message again. It is deleted automatically after 30 days of inactivity.
Meta’s side. Messenger itself is run by Meta, and a message you send our Page also passes through Meta’s own systems under Meta’s own privacy policy — that part is between you and Meta, not something we control.
See Data deletion instructions to have any of this removed.
If you use the Business Health Scorecard
What we collect. What you type into the scorecard: your name, business name, email, industry, team size, your answers to the questions, and any money figures you choose to enter (monthly sales and costs, cash, receivables, payables, stock value).
Where it goes. When you press the button, your answers are scored on our server and the result is emailed to you, with a PDF copy attached, by our email provider from hello@optivanceph.com. Your money figures appear only in that email and PDF. They are not sent to our team and nothing is written to any database on this website.
What our team receives. A short notice with your name, business, email, industry, team size, your scores and whether you ticked the optional box asking us to contact you. We contact you about your results only if you tick it.
Consent and mailing. You tick a consent box before you submit. You receive one email with your scorecard; we do not add you to a mailing list. The form uses the same Cloudflare Turnstile spam check described above.
How long we keep it. The team notice is kept like an enquiry: deleted within 12 months unless it becomes work. The email and PDF in your own inbox are yours. The scorecard is an indicative self-assessment, not an audit, tax or financial advice.
Your rights
We handle personal data in line with the Data Privacy Act of 2012 (Republic Act No. 10173). You may ask what we hold about you, have it corrected, or have it erased — write to hello@optivanceph.com and we will answer within 15 days.
Client information under an engagement is governed by that engagement and its confidentiality agreement, not by this notice.
Spotting a fake
We will never ask you for a password, a one-time PIN, card details or online banking credentials — not by email, not on a call, and not on any web page.
Our only website is optivanceph.com. If a message claiming to be from Optivance asks you to log in somewhere or to send money urgently, treat it as fraudulent and tell us.
